About This Role
We are looking for a highly organized Administrative Assistant to support day-to-day operations in a remote-first environment. You will coordinate calendars, manage documentation, streamline routine processes, and keep internal communications moving so the team can stay focused on delivery.
Responsibilities
- Manage calendars, schedule meetings, and coordinate logistics across multiple time zones
- Prepare and maintain internal documents, templates, and light reporting (status updates, simple tracking sheets)
- Support communication workflows: triage inbound requests, track action items, and ensure timely follow-up
- Assist with vendor and partner administration (invoices, contract files, renewal reminders, and recordkeeping)
- Coordinate onboarding logistics for new hires and contractors (accounts, access requests, equipment shipping as needed)
- Maintain organized digital filing systems and keep documentation current and easy to find
- Support basic travel planning and team coordination for occasional offsites or client meetings
- Contribute to process improvements by standardizing repeatable tasks and creating checklists
Requirements
- 2+ years of experience in an administrative, operations support, or executive assistant role (remote experience strongly preferred)
- Strong calendar management skills (Google Calendar or similar), including scheduling across time zones
- Excellent written communication and professional follow-up habits
- Proficiency with Google Workspace (Docs, Sheets, Drive) and common collaboration tools (Slack/Teams, Zoom/Meet)
- Comfort with documentation systems (Notion/Confluence) and task tracking (Asana/ClickUp/Monday) or willingness to learn quickly
- High attention to detail, discretion with sensitive information, and consistent reliability
- Ability to prioritize competing requests and maintain clear status updates without constant supervision
- Nice to have: basic bookkeeping/invoicing support experience and vendor/contract coordination
